Department: Operating RoomSchedule: Full timeShift: EveningsHours: 80 hours biweeklyJob Description: High School Diploma/GED Minimum of 2 years of experience Typing Speed of 25 WPM SUMMARY: The Secretary - Perioperative assists the Charge Nurse by coordinating non-clinical activities on a nursing unit. Responsibilities include answering the phones and managing information flow among nursing staff, physicians, ancillary departments and physicians' offices. Assists in functions of the Operating Room and AM Admissions Area to facilitate the surgery schedule. Responsible to assure that all chart packet components are accounted for and completed after each case.
Prepares a justified daily schedule that accounts for all elective and add-on cases. Carries out responsibilities in accordance with Ascension Health Core Values, Saint Agnes policies/ procedures and applicable civil laws. Is accountable for efficient use of resources and support of the Saint Agnes mission. Facilitates the efficient, effective management of the operating room resources by communicating essential information in a timely manner.
Maintains an atmosphere at the control desk that is customer friendly. Requires some initiative in interpreting hospital policy; however, decisions are reviewed by the nurse manager on a case-by-case basis. Principle Duties and Responsibilities 1. Coordinates the clerical function of the Operating Room Control desk; a Assures all chart packets are accounted for at the end of each case.
b Assures all required data fields are completed and all charge sheets ate completed at the end of each procedure. c Assures that all chart packets are prepared and labeled prior to each procedure. Validates that the patient information is correct. d Immediately notified appropriate staff member if data or records are incorrect or missing.
e Obtains all required lab results, history and physical reports and consults as need to complete each chart. Assures that the correct labels are available for each chart. f Separates all chart packets at the end of each case. Brings Pharmacy charge sheets to the Satellite Pharmacy at the end of each shift.
g Marks off each chart packet submitted at the end of each case to correspond to the OR Master Schedule and Add-On List to assure that all records are accounted for. Verifies with Charge Nurse that a case has been cancelled if there is no chart packet submitted. Follows-up to obtain any missing packets. h Obtains reason for all cancelled cases and assures that the OR Master Schedule and Add-On List for the previous day matches the chart packets by 8 am of the following day.
Management of Communication and Information Flow: a Keeps track of information needed by physicians, staff, patients and visitors. Accurately disseminated this information to the appropriate person/s. Is able to interpret information on the grease board regarding status of cases. b Assists in notifying all team member and appropriate department about the status of cases (early/late/cancelled).
c Answers telephone in cordial and helpful manner. d Referees all problems and questions requiring clinical information to the Charge Nurse or designee. e Calls the units to arrange for beds to be delivered for patients as necessary (all halls and units). f Serves as information hub for the OR, is responsible for communication of any/all information to the Charge Nurse.
Promptly follows directions from Charge Nurse (or staff nurse). 3. Coordination of Clerical Functions: a Uses computer terminal for data entry end retrieval. b Enters orders accurately c Acts as resource for nursing staff for computer use.
d Organizes work and sets priorities. e Maintains nursing station in neat and organized manner f Collects patient statistics and keeps patient log book up-to-date. g Maintains charts in proper order, applies labels to patients' medical records, and prepares new charts, check for completeness. 4.
Supply Control: a Inventories and orders daily to maintain established levels of all office and chart packet supplies. Orientation: a Assists with orientation of new secretaries b Provides complete instruction and exposure to all aspects of role when training new unit secretaries. Required Education: High school diploma or possession of a state high school equivalency certificate (GED) required. Medical terminology required.
