ESSENTIAL JOB FUNCTIONS
Develops and maintains calendars, provides phone coverage, and handles travel arrangements for the operational department. Disseminates information to and between the Director, the Assistant Director, and other staff as! well as Commissioners and other external clients. Prepares it! ineraries, agendas and advisory memos to assure logistical support for assigned areas of responsibility.
Tracks and maintains confidential information regarding certified nurse clients and applicants to include financial and other sensitive information. Ensures proper care of confidential and sensitive documents, including following proper procedures for mailing, handling, transmitting and communicating these documents.
Provides support for and coordinates schedules and administrative arrangements for all meetings and conference calls for the Director, Assistant Directors and the staff.
Prepares reports, letters, memoranda and other assorted documents required to support the program.
Uses database management skills for analysis, entry and report preparation. Databases include, but are not limited to the Certification Department Personify Database. Additionally, able to develop and maintain spreadsheets using access and/or excel.
! Processes expenses, travel vouchers, and other such documents relative to areas of responsibility for Commissioners, management and staff.
Drafts and distributes meeting and conference call agenda. Accurately assists in the recording and distribution of minutes from meetings using appropriate dissemination tools. Attends meetings as requested which may include weekend meetings.
Interacts with customers, volunteers, and staff using professional, courteous interpersonal skills. Receives screens, prioritizes, and delivers/forwards departmental mail, telephone calls and other requests. Determines nature of request and handles independently or directs customer to appropriate alternate contact. Receives handles and transmits highly confidential messages, information and material in an appropriate manner.
Receives, processes, and prioritizes requests for Certification products and services. Establishes and maintains appropriate communication channels wit! hin the department and with sources external to the Program as appropri! ate.
Establishes, maintains, and oversees filing system and records for the department; institutes improved procedures for systematizing record and file-keeping functions. Maintains and safeguards confidentiality.
MINIMUM QUALIFICATIONS REQUIRED
Bachelor’s Degree or equivalent education and work experience. Experience with health care organizations or Associations a plus.
Relevant Work Experience
At least three years of Administrative/Office Assistant experience; as well as expertise using
Microsoft Office products. Skillful with office related products such as fax machines, copy
machines, and scanners. Customer service experience required.
