As a member of the SH&WC’s Executive Committee, will work collaboratively with the Director and Nurse Manage! r to ensure students receive quality, cost effective health care with minimal interruption to their academic schedules by providing administrative support in the areas of HR/Payroll, Information Technology, Budget & Finance, Physical Plant and Strategic Planning.
The primary duties and responsibilities of the job:
Serve as one of three members of the SH&WC Executive Committee. Responsible for assuring university guidelines are in place and followed for: daily financial transactions consisting of cash, checks, J-cash and credit cards; including accountability, reconciliation, and reporting functions of credit card website and J-card reader/Jcard services; setting up new vendor accounts; P-card transactions. As a member of the SH&WC Accreditation Committee, ensure all health care providers maintain documentation required for credentialing and accreditation such as licensure, certifications, continuing education; create/review policies and procedures for AA! AHC (Accreditation Association for Ambulatory Health Care).
Supervise six full-time clerical staff members (3 patient services coordinators, 1 patient service coordinator/accreditation assistant, 1 student insurance and referral coordinator and 1 senior medical office coordinator).
Responsible for recruiting, interviewing, and hiring of these six staff members; responsible for coaching, performance appraisals and disciplinary action of these six staff members. Responsible for processing all payroll functions for 25 staff members. Responsible for resolving calls forwarded by the front desk when a parent asks to speak to a manager for non-medical related issues regarding confidentiality issues between parents and students, billing issues, other issues sensitive in nature where confidentiality cannot be breached.
Coordinate with JHU IT and medical software vendor (Pyramed Health Systems) to maintain a 23 user computer network with 51 computers, 22 printers, 20 label makers and customized medical software progra! m. Responsible for installation of the electronic health record on SH&WC computers, incorporating changes to the database that allow various functions, such as adding J-card ID for self-check in and requesting changes to the database from Mt. Washington IT Center and Peabody, preparation for knowing what new features are available in each upgrade, how it will affect the program and making users aware of new features available with each version; create electronic forms for students to complete and submit through the software’s web portal, at self-check in and for providers to incorporate into their chart note and troubleshoot any problems providers or students encounter daily; run Oracle database queries to produce reports for quality assurance and statistical purposes; and retrieve updated database from the Enterprise SFTP server and place on the Pyramed server to run periodically; work with the software vendor on enhancements or new features, ways to improve the program.!
Maintain content on the JHU SH&WC’s website and homepage of! the Pyramed Web Portal using HTML to upload and change staff pictures/bios, add downloadable consent forms for parents of minor students, provide links to useful information. Oversee all budgetary processes for developing, reconciling and projecting revenues and expenditures of both personnel and non-personnel budgets. • Chair the University’s Student Health Insurance Committee which includes staff and students from the Schools of Arts & Sciences, Engineering, Peabody, Carey Business School, the School of Education and SAIS to ensure enrolled students are offered adequate, cost effective health care coverage by negotiating benefits annually with school’s insurance carrier; act as liaison to resolve disputes; initiate RFP process as needed to ensure competitive rates. Coordinate with the Admissions Office, Office of the Registrar, Peabody Conservatory and graduate student administrators of Arts & Sciences and Engineering to assure immunization compliance efforts for s! tudents entering the Schools of Arts & Sciences and Engineering and the Peabody Conservatory.
Oversee Physical Plant issues regarding routine maintenance and compliance issues as they pertain to AAAHC Accreditation. Oversee maintenance of all equipment including printers, label makers, computers, vaccine refrigerators, emergency call systems, conference room LCD.
Qualifications:
Bachelor’s degree required. Five years related experience in a health care setting or health care administration is required. Three or more years supervisory experience strongly preferred. Familiarity with health insurance plans and negotiations, HIPAA, medical staff credentialing, budget development, projection, reconciliation and reporting, information technology hardware, software and networking. Experience with JHU on-line systems preferred. Additional education can sub for required experience, and additional experience can sub for required education, to the extent! permitted by the JHU equivalency formula.
Special skills a! nd knowledge:
Knowledge and ability to maintain and troubleshoot computer hardware, software and networking issues. Extensive knowledge of university policies and procedures governing financial accountability and personnel (FLSA, FMLA, WC, etc.). Extensive knowledge of and familiarity with university on-line systems including SAP. Extensive knowledge of electronic medical record systems. Knowledge of scanning devices and scanner software for imaging of paper patient records. Knowledge and ability to create Excel spreadsheets for budgetary reconciliation, reporting and projecting of budgets and financial transactions.
Knowledge and understanding of college health insurance including standards at other Universities and the American College Health Association (ACHA) and knowledge of health insurance terminology such as HMO, PPO, POS plans, third party administrators, deductibles, co-insurance, premiums, state mandates.
Ability to lead weekly staff mee! tings and projects. Ability to communicate effectively with all levels of university personnel and disseminate information appropriately. Ability to prioritize workload and projects simultaneously and multi-task. Excellent communication, organization and interpersonal skills. Knowledge and understanding of credentialing process and accreditation standards. Ability to represent the SH&WC to the university community in all non-clinical aspects. Ability to troubleshoot with JHU IT and EHR vendor in the event of a crash in the electronic medical record system alone or with connection to server.
